VNCcontacts
VNCcontacts is the address book of the suite and the lead system for external contacts and companies. It answers a question most organizations get wrong: who owns a contact record? The rule here is explicit.
- Your own organization is shown read-only, projected from the directory. The directory stays the single source for people inside the organization.
- External contacts and companies are owned and maintained here: the private address book, lists, consent, sharing and duplicate hygiene.
That split means an employee never edits a colleague’s HR data from the address book, and at the same time a sales team gets a real system of record for its external relationships — with the governance that goes with it.
What it delivers
Section titled “What it delivers”- One place for external relationships. People and companies with emails, phones, addresses, custom fields and an interaction timeline.
- A clean organization view. Internal users and the org tree are visible read-only, resolved from the directory; an employee can copy a central contact into their private book when they need to work with it.
- Governance built in. Consent, suppression, sharing and an audit log are part of the data model, not an add-on. That is what makes the address book usable for outreach under data protection rules.
- Duplicate hygiene. Detection and merge for people and companies, so the record does not rot.

Typical use
Section titled “Typical use”- A salesperson maintains companies and people they work with, tags them and builds a smart list of everyone due for a follow-up.
- A marketing team records consent per contact, keeps a suppression list, and exports a mailing list without accidentally contacting an opted-out person.
- An employee looks up a colleague in the read-only org view and copies the entry into their private book to keep notes.
- Two colleagues have created the same company; the app flags the duplicate and merges the records without losing the timeline.
How it fits the suite
Section titled “How it fits the suite”- VNCdirectory is the source for the organization and for internal users; VNCcontacts projects it read-only.
- VNCmail reads contacts from here, so the mail address book is governed.
- VNCcrm exchanges contacts through explicit sync flags — a contact marked for CRM is pushed, and a CRM record marked for contacts is mirrored.
- VNCfiles and VNClagoon AI provide attachments and the assistant.
- VNCfluid shows a list or a segment as a portlet.
| Role | What they do |
|---|---|
| End user | Maintain their private address book, lists and tags. |
| Data steward | Manage consent, suppression, duplicates and merges. |
| Team lead | Share records and segments with a team. |
| Administrator | Set policy, control CRM sync and imports. |
